What are “Future” General Ledger accounts?

There are number of INIMaint settings which affect how the system accounts for Transactions and how your Tourplan Future accounts are utilized. These settings will have been defined as part of the initial system set-up with the assistance of your Tourplan Trainer.
  • AR_INVOICE_AGE - AR Invoice Age [(I)nvoice date, (L)SD, (P)ay due,(T)ravel]
  • AR_INVOICE_DATE - Invoice Date [(C)lose, (L)ast service, (S)ystem, (T)ravel Date
  • AR_INVOICE_POSTING - GL period by [(A)ge, (I)nvoice, (L)SD, (T)ravel]
  • AP_INVOICE_AGE - AP Invoice Age Period [(I)nvoice, (P)ay due)]
  • AP_INVOICE_POSTING - GL period by [(A)ge, (I)nvoice,(L)SD, (T)ravel]
  • GL_POST_TAX_CURRENT - Post Debtor/Creditor Tax into transaction period (Y or N)

 (LSD = Last Service Date)

The variables you have set for each of the above will determine the timing and transaction type which will fall into the following accounts:

  • Future Revenue:  Holding account for sales transactions when there is a discrepancy between the Debtor period and the Revenue period. The most common instance of this would occur when a Sales Invoice is raised and aged in advance of the travel period.

  • Future Expense:  Holding account for purchase transactions when there is a discrepancy between the liability period and the Expense period. The most common example of this would be when a Supplier requires prepayment so an Invoice is entered prior to the service taking place.
  • Future cash (Debtors): Holding account for monies received from a Debtor in advance of the Invoice Age period.
  • Future cash (creditors): Holding account for payments made to the Supplier earlier than the Invoices Age period.
  • Future Revenue tax : Holding account for output tax transaction s which relate to Future Revenue/Sales .
  • Future Expense tax: Holding account for input tax transactions which relate to Future Costs/Purchases.
  • Future commission: Holding account for commission given on the Debtor Invoice/Credit Note when transaction has been raised and aged in advance of the travel period. 

While the named INI settings above can be changed after accounting transactions have been raised within the system, THIS SHOULD ONLY BE DONE AFTER CONSULTATION WITH YOUR TOURPLAN SUPPORT DESK.
